Position Overview: As an Order Management Specialist, you will play a vital role in ensuring operational excellence and accurate administration within the Bose Professional business. You will serve as a key internal support partner to Pro Sales Managers, Sales Area Managers, and Bose Professional customers, addressing a wide range of sales support needs. Ensure smooth and efficient operations for Bose Professional customers, contributing to overall operational excellence.
Key Responsibilities:
Sales Orders:
Process and manage open product orders from direct resellers and respond to customer inquiries in a professional, customer-centric manner.
Prevent disruptions to customer projects and internal workflows, including credit collection and logistics.
Maintain and update Customer Master Data for Pro accounts.
Provide direct support to Sales Managers and Territory Sales Representatives.
Facilitate electronic ordering through reseller portals and EDI systems.
Collaborate with cross-functional teams including Product Support, Technical Support, and Supply Planning.
Manage credit and collections processes, contract retention, and new account creation.
Offer (backup) support for colleagues in other countries or regions, contributing to a globally integrated team.
Review aging reports on any past due, or over-exposed credit lines, and work to resolve directly with dealers.
Perform warehouse inventory availability reviews
Take necessary steps to resolve any open order beyond acceptable thresholds.
Ensure that invoices are automatically generated
Resolve output issues if invoices fail to generate
Account Creation and Maintenance:
Validate new dealer applications
Create and maintain NetSuite customer master and partner accounts
Create NetSuite contacts and reseller portal logins
Update terms of payment for accounts with open lines of credit
Accounts Receivable:
Identify credit issues by proactively reviewing aging report
Perform dealer contact and collections activities
Perform account clearing activities
Identify account credits and notify dealers
Periodically review the historical payment behavior of accounts and advise if open credit terms need to be reviewed with manager
Support Company objectives by completing additional tasks as needed
Qualifications:
2+ years of customer service or order management experience required
Able to work independently while receiving direct supervision.
Detail-oriented with strong organizational and communication skills.
Comfortable working in a fast-paced, collaborative environment.
Committed to delivering seamless customer experience.
Excellent multi-tasking and organizational skills to manage outstanding issues until resolution
Knowledge of CRM and ERP systems such as Microsoft Dynamics and Oracle NetSuite preferred
Accounts Receivable experience
Functions effectively in team-oriented environment.
Able to work on assignments and process improvement projects that are moderately complex in nature where judgment is required in resolving problems and making routine recommendations.
Dutch and English language both oral and written required
Additional language German
